This Rental Policy applies to poker table rentals, professional dealer services, delivery, setup, breakdown, and related event services provided by Diamond Poker Tables.

This Rental Policy should be read together with our Terms & Conditions, Privacy Policy, and any quote, invoice, booking confirmation, or event-specific terms provided for your reservation.

If event-specific terms confirmed in writing differ from this general Rental Policy, the event-specific terms will control for that reservation to the extent of the difference.

Booking & reservations

Rental Services

Diamond Poker Tables may provide rental services for private and corporate events, celebrations, poker nights, tournaments, and other eligible events within our applicable rental service area.

Depending on the reservation, services may include:

  • Poker table rental
  • Delivery
  • Setup
  • Breakdown and removal
  • Professional dealer services
  • Multiple-table event setups
  • Other agreed event-related services

Available equipment, dealer staffing, service areas, and event times are subject to availability.

Booking & reservations

Rental Requests Are Not Automatically Confirmed

Submitting a rental request through our website, by email, by phone, or through another communication method does not automatically create a confirmed reservation.

Diamond Poker Tables may review:

  • Event date
  • Start and end time
  • Event location
  • Event type
  • Number of guests or players
  • Number of tables requested
  • Equipment availability
  • Dealer availability
  • Delivery requirements
  • Setup and breakdown requirements
  • Venue access
  • Other event-specific circumstances

A reservation becomes confirmed only after Diamond Poker Tables confirms the booking and any required payment, deposit, approval, or other booking requirement has been completed.

Quotes & Pricing

Rental pricing may vary depending on the specific requirements of the event.

Pricing may be affected by factors including:

  • Number and type of tables
  • Rental duration
  • Number of professional dealers
  • Event location
  • Delivery distance
  • Setup and breakdown requirements
  • Access conditions
  • Event schedule
  • Additional services requested

A quote is based on the information provided by the customer at the time it is prepared.

Material changes to the event may result in changes to pricing or availability.

Booking & reservations

Payments & Deposits

A deposit, partial payment, or full payment may be required to confirm a reservation.

The payment requirements applicable to a specific event will be communicated in the quote, invoice, booking confirmation, or other reservation documentation.

Submitting a rental request without completing the required booking conditions does not guarantee availability or reserve equipment or dealers.

Any remaining balance must be paid according to the payment terms provided for the reservation.

Event Information

The customer is responsible for providing accurate event information, including:

  • Event date
  • Event address
  • Requested start time
  • Expected event duration
  • Estimated number of guests or players
  • Venue contact information when applicable
  • Access instructions
  • Parking or loading information
  • Stairs or elevators
  • Venue restrictions
  • Other conditions that may affect delivery, setup, service, or removal

Diamond Poker Tables should be notified as soon as possible if any material event information changes.

Booking & reservations

Changes to a Reservation

Requests to change a confirmed reservation are subject to availability.

Changes may include:

  • Event date
  • Event time
  • Location
  • Number of tables
  • Number of dealers
  • Rental duration
  • Setup requirements
  • Other event services

A requested change is not effective until confirmed by Diamond Poker Tables.

Changes may affect pricing, equipment availability, dealer availability, delivery arrangements, or other reservation terms.

Booking & reservations

Cancellations

Cancellation terms may vary depending on the event, reservation date, equipment requirements, dealer staffing, and other circumstances.

Any applicable cancellation conditions, including the treatment of deposits or payments, will be communicated as part of the booking process.

If you need to cancel an event, contact Diamond Poker Tables as soon as possible.

A cancellation is not considered received until it has been communicated to and acknowledged by Diamond Poker Tables.

Booking & reservations

Rescheduling

Diamond Poker Tables may allow a confirmed reservation to be rescheduled depending on:

  • Availability
  • Amount of notice
  • Equipment requirements
  • Dealer availability
  • Event location
  • Costs already incurred
  • Other event-specific circumstances

Rescheduling is not guaranteed.

Any approved new date or time must be confirmed by Diamond Poker Tables.

Delivery, venue & setup

Delivery, Setup & Breakdown

Where included in the reservation, Diamond Poker Tables will coordinate delivery, setup, breakdown, and removal of rental equipment.

The customer must provide reasonable and timely access to the venue.

The customer should ensure that the setup area is available and ready at the agreed time.

Delays caused by unavailable access, venue restrictions, incorrect information, or conditions outside the reasonable control of Diamond Poker Tables may affect setup time and event service.

Delivery, venue & setup

Venue Access Requirements

Before the event, customers should notify Diamond Poker Tables of conditions that may affect delivery or setup, including:

  • Stairs
  • Elevators
  • Narrow doorways or hallways
  • Long carrying distances
  • Restricted loading areas
  • Parking limitations
  • Loading dock requirements
  • Security procedures
  • Certificates of insurance required by the venue
  • Scheduled loading or unloading times
  • Other venue restrictions

Additional requirements or costs caused by conditions that were not disclosed in advance may be the customer's responsibility where permitted by law and communicated appropriately.

Delivery, venue & setup

Suitable Setup Area

The customer is responsible for providing a reasonably safe and suitable location for the rental equipment.

The setup area should provide sufficient space for the tables, chairs, dealers, players, and safe movement around the equipment.

Diamond Poker Tables may decline to install equipment in an area that presents an unreasonable risk of injury, equipment damage, or unsafe operation.

Delivery, venue & setup

Outdoor Events

Outdoor setup may be subject to additional approval and conditions.

Weather, wind, moisture, temperature, ground conditions, and other environmental factors can damage poker tables and equipment or create unsafe conditions.

Diamond Poker Tables may decline, modify, relocate, delay, or discontinue an outdoor setup when reasonably necessary to protect people or equipment.

Any outdoor requirements should be discussed before the reservation is confirmed.

Dealers, compliance & conduct

Professional Dealers

Professional dealer services may be available as part of an eligible reservation.

Dealers are provided to facilitate gameplay and entertainment in accordance with the agreed event format.

Dealer availability is not guaranteed until the reservation is confirmed.

The customer and guests are expected to treat dealers and other Diamond Poker Tables personnel respectfully and provide a reasonably safe working environment.

Dealers, compliance & conduct

Entertainment Services — No Gambling Operation

Unless specifically agreed and legally authorized, Diamond Poker Tables provides rental and dealer services for lawful entertainment purposes.

Diamond Poker Tables does not operate a casino, sportsbook, gambling establishment, or real-money gambling business through its standard rental services.

Our dealers do not act as the house, accept wagers on behalf of Diamond Poker Tables, finance games, pay gambling winnings, or operate unlawful gambling activities.

The customer or event organizer may not represent Diamond Poker Tables as a casino or licensed gambling operator unless expressly authorized in writing.

Dealers, compliance & conduct

Compliance With Gambling & Gaming Laws

The customer or event organizer is responsible for ensuring that the event complies with applicable federal, state, and local laws, venue rules, licensing requirements, and gaming or gambling regulations.

The legality of a poker or casino-style event may depend on factors including:

  • Whether participants pay to play
  • Whether money or something of value is wagered
  • Whether prizes are awarded
  • How prizes are funded
  • Whether the organizer receives economic benefit from gameplay
  • Whether the event is public or private
  • Whether the event is a charitable fundraiser
  • The jurisdiction where the event takes place

Diamond Poker Tables may request additional information about an event before accepting or continuing a reservation.

We may decline or discontinue services if we reasonably believe the proposed activity may violate applicable law or expose Diamond Poker Tables, our personnel, or others to unreasonable legal or safety risk.

Dealers, compliance & conduct

Charitable Gaming Events

Charitable fundraising events involving poker or other casino-style games may be subject to special licensing, equipment, staffing, operational, and reporting requirements.

A request for poker tables or dealers does not mean that Diamond Poker Tables has determined that a charitable gaming event is legally authorized.

The sponsoring organization is responsible for determining and obtaining any licenses, permits, approvals, or other legal authorization required for its event.

Diamond Poker Tables may require evidence of applicable authorization before providing equipment or services.

Certain charitable gaming events may also restrict who is legally permitted to supply equipment, conduct games, act as a dealer, handle chips or play money, or otherwise participate in the operation of the event.

For that reason, professional dealer services normally available for entertainment events may not be available for a regulated charitable gaming event.

Dealers, compliance & conduct

No Real-Money Handling by Dealers

Unless expressly authorized under an applicable lawful arrangement, Diamond Poker Tables dealers will not:

  • Accept or hold player wagers
  • Exchange cash for gaming chips
  • Redeem chips for cash
  • Pay gambling winnings
  • Act as the bank or house
  • Collect gambling proceeds
  • Manage a real-money prize pool
  • Participate in unlawful gambling activity

If the event involves money, prizes, charitable fundraising, entry fees, or other items of value connected to gameplay, the customer must disclose that information before the reservation is confirmed.

Dealers, compliance & conduct

Customer & Guest Conduct

Customers are responsible for the conduct of their guests and event participants in connection with the rental equipment and Diamond Poker Tables personnel.

Harassment, threats, violence, dangerous behavior, intentional equipment damage, or other conduct that creates an unreasonable safety risk will not be tolerated.

Diamond Poker Tables may discontinue dealer or rental services if continuing the event would create an unreasonable risk to personnel, guests, or equipment.

Dealers, compliance & conduct

Alcohol

If alcohol is served at an event, the customer, venue, and any applicable alcohol provider are responsible for compliance with alcohol-related laws and venue requirements.

Diamond Poker Tables does not assume responsibility for the service, sale, or consumption of alcohol by event participants unless expressly agreed otherwise in writing.

Unsafe or abusive conduct associated with alcohol may result in suspension or termination of services where reasonably necessary for safety.

Equipment & event conditions

Care of Rental Equipment

Rental equipment remains the property of Diamond Poker Tables unless otherwise expressly agreed.

Customers and guests must use rental equipment in a reasonable manner and avoid conduct likely to cause damage.

Without prior approval, customers should not:

  • Move installed tables
  • Disassemble equipment
  • Modify equipment
  • Attach items to the tables
  • Place damaging materials or substances on the equipment
  • Use the equipment for purposes other than its intended use

Equipment & event conditions

Damage, Loss & Excessive Cleaning

The customer may be responsible for loss of or damage to rental equipment occurring while the equipment is at the event or under the customer's control, except for ordinary wear and tear or damage caused by Diamond Poker Tables.

This may include damage caused by:

  • Guests or event participants
  • Spills
  • Burns
  • Cuts or punctures
  • Improper moving or handling
  • Unauthorized modifications
  • Outdoor exposure
  • Negligence or misuse
  • Loss or theft

Where appropriate, the customer may also be responsible for reasonable repair, replacement, or excessive cleaning costs resulting from such damage.

Any such charge will be based on the circumstances and applicable law.

Equipment & event conditions

Equipment Condition

Diamond Poker Tables may inspect rental equipment before and after an event.

Normal wear resulting from ordinary intended use is not considered customer damage.

If significant damage is identified after the event, we may document the condition and contact the customer regarding the issue and any applicable resolution.

Equipment & event conditions

Event Timing & Overtime

Rental periods and dealer service times are based on the schedule confirmed for the event.

Requests to extend an event are subject to:

  • Dealer availability
  • Equipment scheduling
  • Transportation requirements
  • Other commitments
  • Additional charges where applicable

An event extension is not guaranteed unless approved by Diamond Poker Tables.

Any applicable overtime or extension pricing should be confirmed before the additional service is provided whenever reasonably possible.

Equipment & event conditions

Delays

Diamond Poker Tables will make reasonable efforts to provide services according to the confirmed schedule.

However, event timing may be affected by circumstances outside our reasonable control, including:

  • Severe weather
  • Traffic
  • Road closures
  • Vehicle problems
  • Venue access delays
  • Building restrictions
  • Emergencies
  • Other unexpected conditions

If a significant delay occurs, we will make reasonable efforts to communicate with the customer and determine an appropriate course of action.

Equipment & event conditions

Weather & Events Beyond Our Control

Diamond Poker Tables is not responsible for failure or delay caused by events outside our reasonable control.

These may include severe weather, natural disasters, government restrictions, transportation disruptions, emergencies, utility failures, venue closures, or similar circumstances.

If such an event materially affects a reservation, we will review the circumstances and available options, which may include rescheduling or another appropriate resolution.

Any financial treatment of a cancellation or rescheduling will be determined by the applicable booking terms and law.

Equipment & event conditions

Customer Property & Venue

Diamond Poker Tables personnel will use reasonable care while delivering, setting up, operating, and removing rental equipment.

Customers should identify fragile surfaces, restricted areas, unusual property conditions, or other concerns before setup begins.

To the extent permitted by applicable law, Diamond Poker Tables is not responsible for damage resulting from undisclosed unsafe conditions, inadequate access, inaccurate customer instructions, or circumstances outside our reasonable control.

Equipment & event conditions

Third-Party Venues

The customer is responsible for confirming that the selected venue permits the requested rental setup and activities.

Venue requirements may include:

  • Insurance documentation
  • Vendor approval
  • Loading restrictions
  • Security requirements
  • Setup schedules
  • Electrical or fire-code requirements
  • Gaming or entertainment restrictions

The customer should disclose applicable venue requirements to Diamond Poker Tables sufficiently in advance of the event.

Equipment & event conditions

Photos & Marketing

Diamond Poker Tables will not rely on this Rental Policy alone as consent to use identifiable photographs or videos of customers or guests for advertising or promotional purposes.

If we wish to use identifiable event photographs or video for marketing, appropriate permission may be requested separately where necessary.

Liability & legal terms

Limitation of Liability

To the fullest extent permitted by applicable law, Diamond Poker Tables will not be liable for indirect, incidental, special, exemplary, punitive, or consequential damages arising from rental or event services where such damages may lawfully be excluded.

Nothing in this Rental Policy excludes or limits liability that cannot legally be excluded or limited.

Event-Specific Terms

Certain events may require additional terms because of their size, location, venue requirements, equipment needs, legal requirements, or other circumstances.

Those terms may be included in a quote, invoice, rental agreement, booking confirmation, or other written communication.

By confirming the reservation, the customer agrees to applicable event-specific terms communicated as part of the booking process.

Liability & legal terms

Governing Law

This Rental Policy and rental services provided by Diamond Poker Tables are governed by the laws of the State of Illinois, without regard to conflict-of-law principles, except where mandatory law requires otherwise.

Nothing in this provision eliminates rights or protections that cannot lawfully be waived.

Relationship to Other Policies

This Rental Policy supplements the Diamond Poker Tables Terms & Conditions.

Our Privacy Policy governs the handling of personal information.

Product purchases remain subject to applicable purchase, shipping, return, and other terms.

Where an event-specific rental agreement or booking confirmation contains terms that differ from this general Rental Policy, the specifically agreed event terms will control for that reservation to the extent of the conflict.
